We are looking for a highly organized, resourceful, and proactive Executive Assistant & Office Manager to support the CEO and help keep our NY office running smoothly. This is a pivotal role for someone who thrives in a fast-paced, ever-changing environment, can juggle multiple priorities without missing a detail, and has the interpersonal skills to work seamlessly across all levels of the company.

In this role, you will own a complex and demanding calendar, manage competing priorities with precision, and anticipate needs before they arise. At the same time, you will help maintain an efficient, engaging, and welcoming office environment, supporting the broader team and contributing to our company culture.

Responsibilities

Key responsibilities

Executive support to the CEO

· Manage the CEO’s calendar, including internal and external meetings, travel, and priorities.

· Proactively track and follow up on action items, meeting prep, and communication.

· Coordinate logistics for board meetings, investor calls, and executive offsites.

· Handle confidential information with discretion and professionalism.

· Serve as a point of contact between the CEO and internal/external stakeholders.

·    Provide personal assistance support as needed, such as managing personal scheduling, travel, and occasional errands to enable the CEO to focus on strategic priorities.


Office and operations management

· Ensure smooth day-to-day operations of the office (facilities, supplies, vendors, etc.).

· Act as the go-to person for onsite logistics, visitors, and workspace organization.

· Own relationships with service providers (e.g., IT, cleaning, food delivery).

· Support coordination of onsite meetings.

· Work with the HR team to execute team building activities and internal celebrations.


Requirements

· 5+ years of experience in executive support and office management.

· Exceptional organizational and multitasking skills.

· High discretion and a proactive mindset.

· Strong interpersonal and people skills—able to build relationships across all levels, create a positive atmosphere, and communicate with clarity.

· Strong written and verbal communication skills.

· Comfortable working in a fast-paced, dynamic environment with shifting priorities.
